Scottish Ukulele Retreat — Terms & Conditions
1. Booking & Payment
1.1 A non-refundable deposit of £50 per person is required to secure your place
1.2 The balance (full amount minus deposit) must be paid by bank transfer within 7 days of receiving invoice. Latest January 31st.
1.3 If payment of the balance is not received by the deadline, your booking may be cancelled and your deposit forfeited.
1.4 All prices are quoted in British Pounds (GBP) and are inclusive of workshops, tours, meals, and stated inclusions (unless otherwise specified). Accommodation prices varies depending on the room choice.
2. Inclusions & Exclusions
2.1 The retreat is “all-inclusive” in that it covers workshops, tours, meals as per the itinerary, and group musical sessions.
2.2 Accommodation, travel to/from the retreat location, personal expenses, and optional extras are excluded unless explicitly stated.
2.3 Any change to the itinerary or inclusions will be communicated in a timely manner; the organisers reserve the right to make reasonable program changes due to circumstances beyond their control.
3. Cancellation & Refunds
3.1 The deposit is non-refundable.
3.2 After full payment, cancellations made more than 60 days before the retreat will receive a 50% refund of the paid balance (less deposit).
3.3 Cancellations made between 30 and 60 days before the event will receive a 25% refund of the paid balance (less deposit).
3.4 Cancellations made less than 30 days before the event are non-refundable, except in exceptional circumstances (e.g. medical emergencies) at the organisers’ discretion.
3.5 If the retreat is cancelled by the organisers (due to low numbers, force majeure, or other unforeseen events), participants will be offered an alternative retreat date or a full refund (including deposit).
4. Changes by Participant
4.1 Requests to transfer to another person may be possible, subject to approval, and may incur an administrative fee.
4.2 Changes to your accommodation choice or room type may be possible, subject to availability, and may incur additional fees.
4.3 After the balance deadline, changes are not guaranteed.
5. Health, Safety & Liability
5.1 Participants must disclose any relevant health, medical or dietary conditions at the time of booking.
5.2 The organisers reserve the right to refuse participation to anyone whose health or behaviour could jeopardise safety or the experience for others.
5.3 Participants attend at their own risk. The organisers and their staff/contractors accept no liability for personal injury, loss or damage to personal property, except where arising from negligence by the organisers.
5.4 Participants are responsible for taking out suitable travel and medical insurance (including coverage for cancellation, personal injury, and loss of equipment).
6. Conduct & Behaviour
6.1 All participants are expected to behave respectfully and responsibly
6.2 The organisers may remove any participant whose conduct is disruptive, unsafe, or damaging; in such cases, no refund will be given.
6.3 Smoking, alcohol, or other restrictions on the premises must be respected (if applicable).
7. Force Majeure
7.1 The organisers are not liable for any failure to provide services or make changes to the retreat caused by circumstances beyond their reasonable control (e.g. extreme weather, natural disasters, government restrictions, illness outbreaks).
7.2 In such cases, the organisers will endeavour to offer alternatives or refunds as appropriate, but cannot guarantee full compensation.
8. Photography, Recording & Media
8.1 The organisers may photograph or record parts of the retreat for promotional or archival use.
8.2 By attending, participants grant permission for use of their likeness (photos/videos) in marketing materials, unless they explicitly opt out in writing.
8.3 Participants may record sessions for personal use, but not for commercial distribution without permission.
9. Intellectual Property
9.1 All musical arrangements, workshop materials, and printed/online resources provided during the retreat remain the intellectual property of their creators/organisers.
9.2 Participants may use them for personal, non-commercial purposes only.
10. Complaints & Disputes
10.1 Any complaints must be raised in writing to the organisers during the retreat or within 14 days after the retreat ends.
10.2 The organisers will make reasonable efforts to resolve disputes amicably.
10.3 These Terms & Conditions are governed by the laws of Scotland and any dispute will be subject to the courts in that region.
